Yes, you can. On a corporate travel setup the booking form can carry your own fields, so the person booking has to pick a department, a project or a cost centre before the trip is sent for approval. The choice is saved with the booking itself rather than typed into a spreadsheet afterwards, and that is what makes the recharge possible later.

Once the code is on the booking it travels with it. It shows on the trip record, on your internal reports and on the statements you pull for a period, so your finance team can see what each department spent without going through every booking by hand. If you recharge costs to a client or to a group company, the split is ready when the month closes.

There are limits worth knowing before you plan around it. Whether the field can be made compulsory, whether staff pick from a fixed list you control, and whether that list can be pulled in from your accounting software instead of kept by hand, all depend on your plan and on how your booking flow is set up. The code is your own, so it lives in your system and not with the airline or the hotel, and if you need it printed on the supplier document itself that is usually not something the supplier will carry. Trips booked outside your portal will also arrive without a code, so someone still has to fill those in.

Start by writing down the list your finance team actually uses today, decide whether a trip should be stopped when the field is left empty, and check both against what your current setup allows before you roll it out to staff.
