Question 1

Can my customers see the final price with all the taxes and fees included on my website before they reach the payment page?

Accepted Answer

Yes, in most cases your portal can show an all inclusive price well before the payment page, but how complete that price is depends on what each supplier sends back in their response. Where a supplier returns the full fare along with taxes and fees, your search results and the booking page can display the total with your markup already built in, so the figure the customer sees first is the figure they pay. This is usually the single biggest reason customers stop halfway, so it is worth setting up properly. Some suppliers return a clean total, while others return a base fare and a list of tax and fee components separately. In that case you decide what gets shown and what stays in the breakdown, and the portal adds them up for display. Optional extras behave differently. Baggage, seats, meals, insurance and similar items are priced on their own and only appear in the total once the customer actually selects them, which is normal and expected on a booking site. Be aware that a few charges sit genuinely outside your control and cannot be shown as part of your checkout total. City or tourist taxes collected by a hotel at check in, charges an airline takes at the airport, and foreign exchange fees added by the customer's own card issuer are all common examples. The honest approach is to display these as a clear note next to the price rather than pretend they do not exist, because an unexpected charge on arrival damages trust more than an upfront warning does. Run a few test searches across each of your main suppliers and compare what the search page shows with the final confirmation screen, and ask each supplier what their response includes so you know where you need a note instead of a number.

Question 2

If something happens in a city, can I quickly find out which of my corporate client's employees are travelling there?

Accepted Answer

Yes, as long as the travel was booked through your portal, you can pull up a list of who is travelling where and on what dates. The system already holds the trip dates, the destination city, the flight or train details and the hotel for every confirmed booking, so it can be searched the other way round, by place and date instead of by traveller name. That gives you a view of everyone from that company who is in a particular city or country on a given day, along with the contact details held on their traveller profile. In practice most agencies use this in two ways. One is a planned check, where you look a week ahead to see who is going where, which is also useful for the company's own HR and security people. The other is the urgent check, when there is a strike, a storm or unrest somewhere and the client calls you asking who they need to worry about. Because the information comes from the bookings themselves, you can usually produce that list in a couple of minutes and send it across, or message the affected travellers directly if your plan includes email and messaging. There are honest limits. The system only knows about trips that went through you. If an employee books a hotel directly or buys a flight on an airline site, it will not appear unless someone enters it by hand. Live information such as whether a flight has actually departed depends on what the airline or supplier API sends back, and not every supplier sends it, so treat the list as a record of where people are meant to be rather than a live tracker. Before you promise this to a corporate client, agree with them that all staff travel is booked through your portal, and ask us which supplier feeds on your plan return flight status updates.

Question 3

Can my customers book on my website in their own language, or does it only work in English?

Accepted Answer

Yes, a customer facing booking portal can be shown in more than one language, so a visitor can search, choose and pay without reading English. The parts of the site that belong to you, such as the menus, buttons, search labels, checkout wording, your home page text, your terms and your confirmation emails, can each be stored in several languages, and the site picks the right one based on what the visitor chooses or what their browser asks for. Most agencies start with English plus the one or two languages their market actually uses, and add more later. Where you need to be realistic is the content that does not come from you. Hotel descriptions, room names, facility lists, fare rules, baggage conditions and cancellation policies all arrive from the supplier through the connection, and most suppliers send them in English only. Some send a few extra languages, some send none. Where a supplier does offer translations, the portal can request them and show them. Where it does not, you are left with either the English text or an automatic translation, and automatic translation can read badly on policy and cancellation wording, so many agencies choose to leave those lines in the original language rather than risk a confusing promise. A couple of other steps sit outside the portal too. The payment page may be hosted by your payment provider and will follow the languages that provider supports, and any voucher or ticket issued directly by an airline or hotel comes in whatever language they produce. How many languages you can switch on, and whether the translation work is yours or ours, also depends on the plan you are on. The useful next step is to decide which languages your real customers need, then ask us which of those your chosen suppliers can return content in, so you know up front which pages you will be writing yourself.

Question 4

Can I give my corporate clients their own login so they can see all their company's travel spend in one place?

Accepted Answer

Yes, corporate clients can usually be given their own login area where they see the bookings made by their staff and what those trips have cost. This is one of the main reasons companies move their travel to an agency with a proper booking portal. Instead of asking you for a statement every time their finance team wants a number, they sign in and look at their own activity whenever they want. You decide what each company can see, so one client never sees another client's travel. What appears inside that login depends on how you set the account up. Most agencies show the list of confirmed bookings, who travelled, the dates, the booking reference and the amount charged to the company. If you have asked your corporate travellers to record a department, a cost centre or a project when they book, that information can be shown too, which is what makes the spend view useful rather than just a list of trips. If nobody is entering that detail at the time of booking, the system cannot invent it later, so the quality of the reporting depends on the rules you put in place at the start. Be honest with your client about what is included. Travel booked outside your portal, for example a hotel a staff member paid for personally or a flight bought direct from an airline website, will not appear unless somebody enters it manually. Some clients want their whole travel picture in one screen, and that only happens if all their bookings genuinely come through you. Before you offer this to a corporate client, decide which fields you want their travellers to fill in when booking and agree with their finance team what they need to see, then set the login up around that.

Question 5

What are the advantages of white label payment software?

Accepted Answer

White label payment software offers businesses a practical way to launch secure, branded payment services without building an entire payment infrastructure from scratch. It allows companies to customize the platform with their own logo, design, domain, and customer experience while relying on proven payment technology. One of its biggest advantages is faster time to market. Businesses can introduce payment solutions quickly and focus on acquiring customers instead of spending months on software development. It can also reduce development and operational costs, as the core payment infrastructure is already available. White label payment software also provides greater brand control, helping businesses deliver a consistent experience throughout the payment journey. Depending on the provider, platforms may support multiple payment methods, currencies, merchant management tools, transaction monitoring, reporting, fraud prevention, and API integrations. Another important benefit is scalability. As transaction volumes, merchants, or markets grow, businesses can expand their payment operations without rebuilding their technology stack. Overall, white label payment software can help payment service providers, fintech companies, marketplaces, and other businesses create a professional payment offering while saving development time, controlling costs, strengthening their brand, and maintaining flexibility for future growth.

Question 6

Can my customers pick their seats and add extra baggage on my website, or do they have to call the airline afterwards?

Accepted Answer

In most cases they can do it on your website, but how much they can do depends on the airline and on the way that airline content reaches your portal. When the airline passes seat maps and baggage options through to us, your booking page can show them as part of the normal flow. The customer picks the flight, then sees the seat layout with the seats that are free, and sees the baggage options offered for that fare. Whatever they add is priced into the same payment, so they pay once and the extras are held against the same booking reference. Low cost carriers are usually the strongest here because selling extras is a core part of how they work. Be aware that not every source behaves the same way. Some fares booked through a global distribution system or through a consolidator return no seat map at all, or return one only after the ticket has been issued, and some airlines only accept baggage requests directly on their own site once the ticket is in hand. In those cases your portal cannot invent the option, and the honest thing is for the page to say the extra is not available online for that flight rather than to take a request you cannot fulfil. The sensible next step is to ask which of your current airline connections return seats and baggage before ticketing, and then set your portal so those options only appear on flights where they can actually be confirmed.

Question 7

Can my employees see the special airline and hotel rates my company has negotiated instead of the normal public prices?

Accepted Answer

Yes, in most cases they can, but it depends on where that deal actually sits. When a company agrees special rates with an airline or a hotel chain, those rates are usually tied to an account code or a contract reference. The booking system can carry that code with every search your staff run, so the agreed price comes back to them instead of, or alongside, the fare any member of the public would see. How cleanly this works comes down to the supplier and the connection you are using. Some airline and hotel connections accept a negotiated rate code and return your prices without any fuss. Others only release the agreed rate on a separate feed, or only to the party that signed the contract, and in that case your staff will see the public price and nothing more. So before you tell everyone their corporate rate will appear, it is worth asking each supplier what they actually support on the connection you have. You can normally control who sees which deal as well. If different departments, or different companies within the same group, hold different agreements, the rates can be attached to the traveller's company or profile, so people only ever see what their own employer negotiated and the rest stays hidden from them. The part people forget is the paperwork. These contracts get reviewed, and a code that has quietly expired will drop your staff straight back to public prices without anyone noticing. Ask your supplier contact to confirm the code and the dates it is valid for, then have it loaded and tested with a real search before you announce it to your travellers.

Question 8

Can I run a discount code on my website for a festival sale without changing the prices I have already set?

Accepted Answer

Yes, you can run a discount code on your website for a festival sale without changing the prices you have already set. A coupon sits on top of your normal pricing as a separate rule, so your markups and your supplier rates stay as they are. When the customer enters the code, the reduction is applied to the total, and the booking is saved with both the original amount and the discount, so your reports still show what the sale cost you. Most portals let you decide how the code behaves. You can set a flat amount or a percentage off, a start and end date so the offer closes by itself, a minimum booking value, and a limit on how many times it can be used in total or by one customer. You can usually also tie it to one product, so a code meant for hotels is not used on flights. There are limits worth knowing. A discount code reduces what the customer pays you, not what the supplier charges you, so it comes out of your own margin and you should check that the margin is there first. Some suppliers do not allow their fares to be shown below the rate they filed, so a public code on those products can go against your contract. Whether a refund returns the discounted amount or the full amount depends on how your portal and your payment gateway are set up. Before you launch the sale, make one test booking with the code, check that the invoice and the sales report both show the reduced figure, and confirm with your supplier that discounting their product is allowed.

Question 9

Can I make my employees enter which department or project a trip is for so I can charge the cost back later?

Accepted Answer

Yes, you can. On a corporate travel setup the booking form can carry your own fields, so the person booking has to pick a department, a project or a cost centre before the trip is sent for approval. The choice is saved with the booking itself rather than typed into a spreadsheet afterwards, and that is what makes the recharge possible later. Once the code is on the booking it travels with it. It shows on the trip record, on your internal reports and on the statements you pull for a period, so your finance team can see what each department spent without going through every booking by hand. If you recharge costs to a client or to a group company, the split is ready when the month closes. There are limits worth knowing before you plan around it. Whether the field can be made compulsory, whether staff pick from a fixed list you control, and whether that list can be pulled in from your accounting software instead of kept by hand, all depend on your plan and on how your booking flow is set up. The code is your own, so it lives in your system and not with the airline or the hotel, and if you need it printed on the supplier document itself that is usually not something the supplier will carry. Trips booked outside your portal will also arrive without a code, so someone still has to fill those in. Start by writing down the list your finance team actually uses today, decide whether a trip should be stopped when the field is left empty, and check both against what your current setup allows before you roll it out to staff.

Question 10

Can employees at a company book travel for themselves and have it go through an approval process before the booking is confirmed?

Accepted Answer

Yes, the system can be set up so that employee bookings need approval from a manager or travel coordinator before they become final. When an employee searches for and builds a trip in the portal, the booking can be held in a pending state instead of being confirmed right away. A designated approver then sees the booking request, can review the trip details and the cost, and can either approve it to move forward or reject it if it does not fit the company policy or budget. How this works depends on how you want to structure your approval chain. You might have every booking go to one central person, or you might set different approvers for different departments or cost centers. Some companies also set automatic rules so that bookings under a certain price approve themselves, while anything more expensive needs a person to look at it. The system can send notifications to the approver so they know a booking is waiting, and can remind them if approvals are sitting too long. Keep in mind that the approval process does add a step between when an employee wants to travel and when their booking is locked in. If you need instant confirmation, approval workflows may slow things down. You should also decide whether employees can see prices from all suppliers or only the ones your company has negotiated rates with, since that affects what they are approving in the first place. To set this up, talk to your system provider about your approval structure and how many levels of sign-off you need, so they can configure the right workflow for your company.
