Can I put things I arrange myself, like a local guide or a dinner reservation, into the same itinerary as the flights and hotels I booked through the system?
Yes. An itinerary builder is not limited to what comes back from a supplier API. Alongside the flight and hotel lines that were booked live, you can add your own entries for anything you arranged yourself, a driver you always use, a guide in a small town, a table at a restaurant, a permit, a ferry that is not sold online. You type in the day, the time, a short description and your own cost, and it sits in the itinerary next to everything else.
The difference is what the system can do with those entries. A supplier booking carries a reference number, a cancellation deadline and a confirmed price, so the system can track it and act on it. A manual entry is only as good as what you typed. It will print on the customer document and count towards the total you are charging, but nothing is confirmed at the other end and no one will remind you if the guide never replies. That part stays your job.
How the cost is treated depends on how your portal is set up. In most cases a manual item can be given its own buying price and selling price, so your margin report still adds up at the end of the trip. If you want tax handled a particular way on those lines, check that with whoever configured your account, because it varies by market.
Before you promise a mixed itinerary to a client, build one test trip with both kinds of items in it and look at the customer document and the internal costing screen side by side, so you know exactly what the traveller sees and what your accounts see.
