Yes, this can usually be automated, but how much of it happens without anyone touching it depends on which accounting package you use and what that package allows outside systems to do.

The way it normally works is that once a booking is confirmed and paid, the system creates the sales entry for you with the customer name, the booking reference, what the supplier charged, what you charged and the tax treatment, and sends that across to your accounts. Most of the accounting packages that agencies use allow this kind of connection, so your books fill up as bookings happen rather than at month end. Where a package does not allow it, the usual fallback is a clean export that your accountant imports in one go, which still removes the typing even if it is not instant.

There are limits worth knowing before you count on it. Someone has to map your accounts and tax codes once at the start, because the system cannot guess how your accountant wants supplier cost, commission and tax recorded. Cancellations, partial refunds and amendments are the messy part, and depending on the package they may post as credit notes automatically or may need a manual adjustment. Supplier statements also still arrive on their own, so checking that what a supplier billed matches what your system recorded is likely to stay a human job, and foreign currency bookings often need an agreed rule for which exchange rate is used.

The sensible next step is to tell us which accounting package you are on and ask your accountant exactly how they want sales, cost and tax recorded, because that answer decides how much of this can run on its own.

Saved.
