Can I move my old customer list out of my spreadsheets into a new system without losing what I already know about them?

Yes, in most cases you can. Customer records kept in spreadsheets, or exported from an older system, can be loaded in as a file with one row per customer and columns for name, phone, email, address and any notes you keep. You do not have to retype them one by one.

How much survives the move depends on what you actually hold. Names, contact details, preferences and free text notes come across easily. Past bookings are harder. A trip that was booked somewhere else has no live supplier reference for the new system to check against, so it usually arrives as history you can read and search rather than a booking you can amend or cancel. That is still useful for knowing who travelled where and when, but it is worth understanding the difference before you expect too much of it.

Be aware of two honest limits. The first is your old system. Some let you export everything cleanly, some give you only part of it, and a few give you nothing better than a printed report, in which case there is typing that no software can remove. The second is the state of your own data. If the same customer appears three times under slightly different spellings, that will come across as three customers unless the file is tidied first. It is also important to carry over anyone who has asked you not to contact them, so that a fresh start in a new system does not undo a promise you already made.

Before committing your whole database, export a small sample, load that first, and look carefully at how the records read once they are in.
